Quick mental fixes have always seemed a little cheap. I mean come on, how much can a blog post really help? How does putting more stuff in our head help us sort it out?

Well here’s another very simple idea to keep you on the ball, moving and fearless, despite the waves of confusion the universe may be showering you with. (Money back guarantee!)
You’ve probably read “do the most important things first” over and over – but if you’re as muddled as me, you’ll be confused about your priorities a lot of the time.

List the most important points about what you’re doing, and why and how you’re doing it. Update them over time as your direction changes, or you improve your strategy.

Three by three

A neat way to get this together is in a 3 x 3 format.

For example I made three categories with three points each that would be just about right to inspire me at a glance.

Having them written down at my working area would mean I can look to them for ideas when I begin to feel less on-top-of-things than I need to be.

Mess with it

Of course you can change the categories and the number, but I think three things is manageable – and also requires some prioritizing which is the point of the whole thing.

For example

So here’s what I’ve come up for, for myself. Because at the moment I’m focussed on building my microbusiness, two of the three categories relate to that.

Life: three most important goals

  • spiritual /personal development (I write about this stuff at AliStarbright.com)
  • financial independence
  • healthy marital relationship (my god I just realized how intertwined these three are)

Business: three important strategies

  • blogging (AND guest posting in equal measures)
  • contacting brick-and-mortar local businesses
  • (obviously I need to put more thought into this one)

Business: three most important projects

  • video for website introducing website products
  • writing and designing promotional materials (my eternal bane)
  • creating solid documentation and processes to make life pleasant for future clients

Last minute addition: future projects

  • start the consulting service
  • make a product that really helps startup soloists take their first steps

Make it move

I’ve changed these since yesterday which is good – I’m thinking about it and refining my plan. Edit and refine yours as much as you need – this means you’ll not only be on the ball but on your way to scoring with it.Care to share your own 3x3s? What categories did you choose and why?     This is great! I'm excited to sit down and create my own 3×3, but yes I do have my own strategies in staying highly productive. On top of my list is delegating with confidence. You have to know your limits and be aware of what you can and cannot do on your own. But before you delegate, you have to find someone reliable and as committed as you are (if not more committed) in completing the tasks at hand. It was a trial and error thing for a while but I finally found for myself a dedicated Virtual Assistant Now I have more time for myself and for my family, and who's to say that's not productivity?

    I wish I could say I needed one. But the type of productivity I'm talking about here isn't really the “getting things done” type that a VA could help with – it's more knowing what to do and if your VA is telling you that then you should be paying them most of your money.

    I like your approach Ali. I think three is about the right number.

    My strategy is to have a weekly “must do” list, and a daily must do list.

    Generally, I keep my weekly list to around 10 items. I break it down similar to yours with key categories and key items (bullets) for each.

    My “must do today” list is an index card listing the 1 – 3 must do’s for today. Nothing else goes on today’s list. When I start to feel less than on-top-of-things during the day, I just go back to my “must do today” list.

    I purposely keep my “must do today” list short. Keeping the “would really love to dos” off the list is a challenge sometimes.

    When I finish today’s “must do” items, I go to my weekly list and grab the next most important item.

    Does it work every week/day? Nope.

    What do I do when it doesn’t work? I just start fresh tomorrow. Not much sense beating yourself up over what's already done. Tomorrow is a new day!

    Hi Mike – I've should try a weekly to-do list. My overlal strategy is becoming more stable so maybe I'm ready to break it into smaller tactics… A to do list would be the next step…

    Ooh, I like the 3X3 thing. Can see many many uses for it. It's not too overwhelming and yet, it gives you enough variety to prevent stagnation.

    My productivity technique is a variation on the “What constitutes success?” thing I heard in one of the ittybiz courses. Every day, I have one thing that has to get done. Once that is completed, everything else is a bonus. And, you feel like the day has been useful so you power through and get a whole lot more done.

    I like the neatness of the 3X3 idea, too. It fits well with another productivity/get-it-done tip I've picked up from Michael Bungay Stanier of Box of Crayons/Do More Great Work, which he calls 1+2.

    Each day, you choose one thing you are really excited to achieve that day, and 2 more that will be just gravy if you can get through the first one.

    Coming off the back of writing great long (and daunting) to-do lists, I've found this tip much more user-friendly. I get the buzz of getting through my tasks, and usually find the momentum carries me on through other things I was less excited about but needed to get done.

    Of course, some days there are so many things to be done that I have to go back to my long lists, but I can see how doing my 3X3 would help me stay focused on the why's of what I have to do, to carry me through. Thanks. :)

    So thanks folks (Mike, Gareth, Tracey) for your tips on daily productivity… I have heaps to go on a look up seeing as I've now got ample direction. I like the 1 + 2 idea, which is more or less what Tracey and Gareth and Mike have mentioned… (as long as on Mike's list of three things one was more important than the other two).

    Love Mike's philosophy on falling short and forgetting about it.
